Overview
SiteControlHQ ("SiteControlHQ", "we", "us") is a US-based field service management platform for contractors. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. We collect only what our operations reasonably require.
Information we collect
Account and profile data (name, email, phone, company, role); workspace content you create (customers, properties, jobs, estimates, quotes, invoices, photos, notes, signatures); billing details processed by our payment provider; device, log, and usage data; and communications you send us. We do not sell your personal information.
How we use information
To provide, secure, and improve the service; authenticate users and enforce role-based access; process subscriptions and payments; generate the durable job record; send transactional and service messages; provide support; detect fraud and abuse; and comply with legal obligations.
Location & telematics
GPS is captured only during en-route and active-job states to power dispatch, mileage, and margin features. Raw GPS traces are automatically purged after 90 days; only derived, non-sensitive summaries are retained on the job record.
Voice & AI processing
Voice notes are transcribed and structured by our AI subprocessors. Audio is deleted once extraction completes and only the structured text is retained. Every AI output is assistive and must pass human review before it becomes an operational record.
Media & job records
Photos, checklists, and system-state snapshots are retained as part of the durable, auditable job record. Deleted records enter a 30-day soft-delete window before permanent removal, subject to legal retention requirements.
How we share information
We share data with subprocessors strictly to operate the service - for example payment processing (Stripe), accounting sync you connect (QuickBooks Online, Xero), email/SMS delivery (Resend, Twilio), cloud hosting, and AI providers. We may disclose information to comply with law or protect rights and safety. We require subprocessors to protect your data.
Data retention
We retain workspace data for as long as your account is active and as needed to provide the service, resolve disputes, and meet legal, tax, and accounting obligations. You may request export or deletion as described below.
Your rights & choices
Depending on your jurisdiction you may have rights to access, correct, export, restrict, or delete your personal information, and to opt out of certain processing. Workspaces own their data; account owners can manage most data in-app. To exercise a right, contact us at chris.suht@gmail.com.
Security
We use encryption in transit, role-based least-privilege access, checksummed US object storage, and background malware scanning. See our Security page for details. No method of transmission or storage is 100% secure.
Children's privacy
The service is intended for business use by adults and is not directed to children under 16. We do not knowingly collect personal information from children.
International users
The service is operated in the United States. If you access it from outside the US, you consent to processing your information in the US, which may have different data-protection laws than your country.
Changes to this policy
We may update this policy from time to time. Material changes will be posted here with an updated effective date, and where required we will provide additional notice.
